Position Summary

Lead change management activities and strategies across a variety of change initiatives to help drive adoption and usage. Communicate complex and compelling technical information to technical and non-technical audiences in a very clear, effective, and efficient manner through emails, slides, websites, training support, and marketing assets. Maintain working functional knowledge of business processes, applications, and procedures required for a successful change program. Work collaboratively with central teams as well as school and department users to kickoff initiatives, and manage all change management activities throughout the duration of a project including all stakeholder/client activities and perspectives related to the initiation, analysis, design, build, testing, rollout, and support of new initiatives and/or systems to improve business processes.  Provide ongoing guidance and support for all change management activities to ensure consistency, encourage creativity, and enforce quality for all change management strategies and solutions.

Principal Duties

Strategize and partner on all project activities from a change management perspective as it relates to all phases of the project lifecycle (Scope/Kickoff, Analysis, Design, Build, Test, Deploy, Support). This includes management and coordination with project management, business analysts, and subject matter experts as well as any key stakeholder/change network/working groups to encourage awareness, desire, knowledge, action and reinforcement of the change. This includes documentation and ongoing monitoring and management of the change impact and change documentation (current state/future state) to support the development of communication and training plans. In addition, this position will provide input into the documentation of issues, risks, and key decisions as well as leadership-level executive presentations, working closely with the project manager.

Lead the design and development of comprehensive communication plans and associated communications. This includes designing and branding communication solutions and approaches and drafting, finalizing and coordinating distribution across functional areas of emails, newsletters, surveys, website updates, and presentations (executive level and stakeholder). Provide guidance and support to projects requiring communication strategies and solutions.

Lead the design, development, and delivery of comprehensive training programs and materials (including user guides, tip sheets, presentations, classroom instruction, online videos, webinars, information sessions, etc. ) to be delivered to key stakeholders. Provide guidance and support to projects requiring training solutions.

Lead the design, development, and delivery of marketing and promotional materials (including social media, videos, signage, printed materials, etc.) targeted to specific audiences. Provide guidance and support to projects requiring promotion solutions.

Lead support model and service delivery related readiness activities including preparation for organizations/departments impacted by a recent change initiative. Including but not limited to FAQs, organization/skills assessments, survey execution, capacity planning, service rehearsals, knowledge base article development, coordination of updates to policy documentation and operational procedures. In addition, coordinate and partner with service center and/or school leadership to ensure employees are best prepared for the change. Provide guidance and support to projects requiring support model and service delivery solutions.

Serve as a change management SME, providing input and feedback on strategies and solutions to support the change management methodology of ADKAR which guides individual and organizational change. This includes tracking the outcomes required to achieve to ensure a change is successful including: awareness, desire, knowledge, ability, and reinforcement. Identify opportunities to measure the success of change management solutions across portfolios. Review templates to identify opportunities for continuous improvement. Partner with portfolio leads to provide input on roadmap and capacity planning. Recommend new change management strategies, methods, channels, and solutions to consider to support the ongoing buy-in and adoption of change related projects.

Required Knowledge, Skills and Abilities

 

  • 10+ years Change Management and Methodologies (ADKAR) or equivalent change management framework, principles, methodologies and tools
  • Comfortable dealing with customers at all levels of seniority.
  • Able to absorb complex technical information and communicate very effectively to both technical and non-technical audiences.
  • A solid understanding of how people go through a change and the change process
  • Exceptional communication skills, both written and verbal
  • Excellent active listening skills
  • Able to clearly, effectively, and efficiently articulate messages to a variety of audiences at all levels of the organization, both formally and informally
  • Able to design compelling slides
  • Able to work with design team to develop marketing and training assets
